✨ Job Purpose:
The Workflow & Volunteer Hub Team Leader is responsible for overseeing the processing and categorisation of donated goods at a regional Rotor Hub and leading the day-to-day coordination of warehouse volunteers and operatives. The postholder plays a key role in ensuring donations are handled efficiently, safely, and with care—maximising value, identifying saleable stock for retail allocation, and diverting unsaleable items into appropriate recycling streams.
🚀 Key Responsibilities:
Workflow & Operations
• Oversee the daily receipt, sorting, categorisation, and dispatch of donated goods, ensuring stock is processed efficiently and accurately.
• Categorise donations into premium, high street, and general resale, allocating items to appropriate retail locations to maximise income potential.
• Identify unsaleable items and coordinate collections through third-party recycling partners to maximise recovery value.
• Monitor and record clothing bank stock weights, generating weekly performance and income reports for senior management.
• Work with store managers to align deliveries with shop needs and retail schedules.
• Ensure all saleable items are labelled using Reuse Banks barcodes to enable stock traceability and income reporting.
• Log, check, and reconcile incoming donation weights against invoices and ensure reporting accuracy.
• Champion safe manual handling and promote productivity while maintaining high standards of quality and care.
Volunteer Leadership & Engagement
• Recruit, induct, and support warehouse-based volunteers, ensuring they feel valued, engaged, and equipped to contribute.
• Assign tasks clearly based on skill, preference, and safety, providing on-the-job coaching and encouragement.
• Promote inclusion, recognition, and ongoing engagement, in line with the TAAS values of compassion and collaboration.
• Maintain a visible and approachable leadership style, ensuring volunteers feel supported and part of the wider mission.
• Support a volunteer environment where everyone is respected and has purpose, including regular check-ins and clear objectives.
Space & Process Efficiency
• Maintain a well-organised warehouse layout that maximises safe storage, smooth processing, and space efficiency.
• Continually identify opportunities to improve processes and increase throughput without compromising quality.
• Escalate supply or space challenges early to avoid bottlenecks and support hub flow.
• Manage basic warehouse consumables and ensure resources are available for effective processing.
Compliance & Safety
• Conduct daily and weekly Health & Safety checks across the site, ensuring compliance with internal policies and legal standards.
• Maintain safe systems of work for all colleagues and volunteers, including manual handling, fire safety, PPE, and safeguarding protocols.
• Promote a safety-first culture and role model positive behaviour, escalating risks and incidents promptly.
• Ensure all activities support GDPR, Equality, Diversity, and Inclusion principles, and charity policies.
Reporting & General Duties
• Produce accurate weekly reports on:
• Stock categorisation outcomes
• Clothing bank weights and reuse income
• Volunteer hours and engagement metrics
• Warehouse productivity and operational issues
• Attend relevant meetings and contribute to broader Trading strategy discussions.
• Work closely with Transport, Retail, and Online Hub colleagues to maintain smooth inter-departmental collaboration.
• Undertake other duties as reasonably requested by the Area Manager in support of operational delivery.
The role is subject to a Basic DBS check.
